Description We are currently seeking a motivated, career and
customer oriented Office Manager / Program Analyst to join our team
in Sterling, VA, to begin an exciting and challenging career with
SAIC.
Responsibilities: -
Perform general office duties, including primary point of contact
for front desk phone, delivering messages to staff and greeting
visitors
Welcome office visitors warmly, professionally and courteously to
cultivate welcoming atmosphere while confirming scheduled meetings
and identification - updates visitor log
Coordinates facility repairs/maintenance as needed
Oversees and manages office inventory activities, including
ordering and receiving
Coaches new employees on company process, administrative
procedures, company policies and performance standards
Identifies and recommends changes to existing processes to improve
accuracy, efficiency and quality service
Distributes team-wide announcements
Maintains repeatable processes so that our programs may operate
efficiently
Actively listens to customers, handles concerns quickly and
escalates major issues to supervisor
Accomplishes program objectives by supporting the recruiting/hiring
process by managing and tracking the end-to-end process as well as
work with new candidates directly to bring them on board
Administrate personnel security clearance processes to include
coordinating initial clearance submissions and periodic
reinvestigations of staff, providing guidance and instruction to
staff to ensure completion of security paperwork, collection of ink
or electronic fingerprinting of initial clearance candidates, and
providing follow-up clearance report status on processed clearances
to managers for specific contracts
Maintain all security documentation and files in accordance with
status reports
Provide Federal Agency or component personnel suitability
processing support and coordination
Manage and develop annual refresher training to include preparing
necessary documentation in support of the Federal Agency audits
Advise personnel of their reporting requirements, both
personal/administrative and compliance/incident-related reports
Interpret government policies for the development and
implementation of security plans and procedures
Maintain a working relationship with Federal Agencies and each
contract's security office for processing and maintaining employee
clearances or suitability determinations
Develop and maintain effective "Document Inventory and Control
Program" for management of classified documents
Create and update security instructions
Perform access control responsibilities including managing badges,
access cards and visit requests, as required
Achieves operational objectives by contributing information and
recommendations to processes and procedures; preparing and
completing action plans; implementing productivity, quality, and
customer-service standards; resolving problems; completing audits,
completing reconciliations; identifying trends; determining system
improvements; implementing change
Enhances department and organization reputation by accepting
ownership for accomplishing new and different requests; exploring
opportunities to add value to job accomplishments
Oversees and manages the operational aspects of ongoing projects
and serves as liaison between project management and planning,
project team, and line management
Qualifications Job Requirements / Experience:
Bachelors and 3 years or more of related experience; Masters and 1
year of related experience
Experience with Microsoft Office tools, especially Excel, Word, and
PowerPoint
Must be able to communicate effectively both verbally and in
writing
Must have good time management skills, outstanding documentation
skills
Has positive attitude and ability to handle customer needs
Well-organized with the -ability to handle schedule management
Responsible, punctual and productive professional when working with
little to no supervision
