Job Description:

Unimex Corporation, a supply chain management company based in Sterling, Virginia, is seeking a Full-Time Employee assisting the management team with government bids/proposals and contract fulfillment. The position title is Office Assistant with a management track in the company. Unimex provides full-time employees with full benefits, including health insurance, 401K, paid holidays/vacation/sick leave, upon a successful 90-day performance review.Responsibilities: Bids and Proposals Coordination: (55%)

  • Assist and oversee the progress of bids, using the company's project management software
  • Review, evaluate, and add bid opportunities onto the company's project management system
  • Communicate with vendors (i.e., manufacturers, distributors) on quote requests, product information, delivery, and so on. Make follow-up calls with vendors on quote requests and negotiate special pricing, payment terms, delivery, warranty, and etc.
  • Develop rapport with vendors to establish long-term, win-win business partnership
  • Assist with government bid opportunity review, summary, and bid response document development
  • Review bid submission package to ensure bid response completeness and correctnessContract Fulfillment Coordination: (45%)
    • Monitor and track status of contracts, using the company's project management software
    • Provide periodical updates on contract progress to customers and the management
    • Review customer's Purchase Orders. Communicate with customers for order errors or discrepancies if any.
    • Review company's Sales Orders and Purchase Orders
    • Coordinate and communicate with the shipping department or vendors to provide special instructions
    • Organize reports, contracts/purchase orders, amendments, invoices, shipping documents, and alike
    • Identify order fulfillment issues or challenges and create solutions. Communicate timely with customers regarding the issues and solutions
    • Keep customers informed of their order delivery status and provide a periodical backorder status report
    • Make sure customer's orders are delivered on time and to their satisfactionEducation and/or Experience:
      • Bachelor's degree or above in business, project management, or equivalent.
      • 2+ years of experience preferred.Qualifications:
        • Knowledge of business process management
        • Proficiency using Microsoft Office Suite (Outlook, Excel, Word, etc). Experience with QuickBooks is a plus
        • Great communication (email and phone) and negotiation skills. Excellent people skills
        • Ability to work in a high-paced work environment supporting multiple efforts while maintaining a high level of attention to detail with minimal supervision.
