The Darden School Foundation at the University of Virginia seeks a highly motivated professional to join its Partnership for Leaders in Education (PLE) team. The Client Operations Manager will support and manage executive education programs and related materials for the over 500 senior education leaders who engage each year with the Partnership for Leaders in Education. Additionally, they will support the PLE team by organizing schedules, logistics, and materials for in-district support and off-site engagements, with the goal of providing extraordinary customer service and world-class programming. -- -- Specific responsibilities include: -- Program Delivery: Support the delivery of world-class programs, ensuring district partners, faculty, and the PLE team have clear communication, timely materials, and the operational necessities to focus on their learning while participating in programs -- -- -- -- Ensure effective delivery of all operational aspects of assigned PLE executive education programs or other events in collaboration with clients, faculty, computing, audio-visual and publications departments-------- Manage pre- and post-program communications with participants, including the preparation (as necessary) and dissemination of program materials and coordination of materials and logistics through the learning management system (Canvas)-------- Prepare and proofread program materials and communications to participants -- Welcome partners throughout programs and address in-the-moment needs, ensuring that PLE's partners experience a world-class experience in support and executive education -- Negotiate and budget all food, classroom, lodging, transportation, tours and special events, photos and gifts for PLE programs, which includes planning for off-site activities and ordering materials -- Actively participate in program planning meetings and post-program debrief meetings -- Develop and document project plans for the program, maintaining files on all events, inventory records, and system procedures related to executive education programs -- Manage evaluation process and tracks follow-up items -- Propose solutions and/or improvements to PLE staff and faculty regarding long-term program needs -- Maintain area for material storage and provide detailed reporting of purchases and usage -- -- -- -- In-District Support: Work collaboratively with school districts, PLE team members, consultants, and other members of the operations team to ensure site and tailored support visits are planned and executed effectively -- -- -- -- Act as partner to the District Support Chiefs and other PLE team members to ensure effective support is provided in the field -- Schedule conference calls, schedule visits, prepare materials, ensure visit logistics meet partner needs, and coordinate support travel to districts for consultants -- -- Support PLE team members and consultants by editing client reports for grammar, syntax and formatting, ensuring they are of the highest quality for our clients -- Ensure streamlined travel plans that minimize complications and maximize use of time -- Handle issues regarding cancellation of travel arrangements and when possible make immediate alternative arrangements -- Ensure PLE team members have professional travel binders that provide easy access to all client and logistical information, coordinating with operations assistant(s) to prepare the binders and with operations associate and assistant(s) to be sure all travel logistics for all types of work in the field are well-coordinated and run smoothly -- Responsible for submission of travel and office supply receipts to the finance director when making purchases for the PLE -- As needed, assist in the preparation of expense claims that are submitted to accounting. -- -- -- -- Team Coordination and Alignment: Identifies key PLE goals and collaborates with internal and external stakeholders to support the pursuit of those goals---------------- Respond to e-mails from PLE staff, Darden, Curry and external stakeholders, providing documents, information, directions, etc. -- Foster a healthy team culture, working in concert with the Chief of Programs and other OPS team members to assure a high level of collaboration and coordination -- Develop and refine various project plans for unique PLE offerings, including Spring Retreats and the Sustainability program -- Assist in the recruiting, orienting, and training of all newly-hired client operations managers and assistants -- -- -- -- -- Successful candidates will have a proven track record that includes: -- Bachelor's degree -- Four to five years of professional experience, including work in a fast-paced environment------ Experience managing and coordinating events with a focus on customer service and responsiveness -- Experience in nonprofit or mission-driven organizations -- -- Experience with database and cloud-based applications -- One year working with enterprise technology solutions such as Salesforce, Event Registration tools, Learning Management Systems, or Customer Relationship Management systems -- Very strong organizational skills and communication skills -- -- Technology-minded and enabled -- Attention to detail and focus on efficiency -- Strong interpersonal skills and ability to collaborate on a small, nimble team -- Ability to work effectively under pressure and/or stringent schedules -- Ability to work with minimal supervision and to interact with a variety of stakeholders -- Learning management system experience with Canvas, NovoEd or similar tool -- Proficiency in Microsoft Office required -- Commitment to continued professional and personal growth -- -- Over 13 cohorts, PLE has served over 70 school districts, across 18 states, many through multiple engagements. Notably, most of PLE's partner schools outgain state averages, almost 50% experience double-digit proficiency gains within two years, and one in five schools achieves over 25-point gains within three years. In just the past two years, twelve of PLE's district partners have had multiple schools experience double-digit gains in student achievement, coupled with increases in school letter grades. -- -------- In order to deepen gains and establish additional proof points, the PLE recently launched a sustainability program in partner districts and customized programs for district Cabinet leadership. These programs will inform broader efforts to improve systems and schools within partner districts and, ultimately, other districts across the country. District and school leaders in the sustainability program have improved how they work together to maximize the efforts of others, identify and solve problems, and rethink organizational design to meet student needs.
